Meetings

Annual General body Meeting shall be held in the month of August / during annual chapter meet each year, or as soon thereafter as possible.
Notice of the annual general body meeting shall be issued by the Secretary at least one month in advance. Similarly, fifteen days notice shall be issued for all executive committee meetings.
Business to be transacted at the general body meeting shall be: –
a. To receive, discuss and adopt the annual report prepared by the Executive Committee and presented by the Secretary.
b. To receive and adopt the audited accounts of the previous year as presented by the treasurer and approved by the Executive Committee.
c. To discuss and adopt the budget estimates of the ensuing year as prepared by the Editor / Treasurer approved by the Executive Committee.
d. To consider any resolution by any member and of which due notice has been given to the secretary atleast 15 days before the annual general meeting.
e. To consider any resolution presented on behalf of the Executive Committee as also any changes or modifications of the rules as proposed by the Executive Committee and circulated along with notice of the annual general meeting.
f. To declare the result of the ballot election of office bearers and members of the Executive Committee.
g. To appoint sub-committees as may be necessary.
h. To appoint an auditor.
i. Any other competent business which the meeting may decide to discuss, with the permission of the President.
Special General Meeting may be convened any time by the Executive Committee in order to consider any matter of special importance and urgency.
Requisition of General Body Meeting
A general body meeting shall be convened on arequisition signed by not less than 1/3rdofthe total number of life members on the roll and stating specifically the purpose of the requisition. The meeting shall be held within four weeks from the receipt by the Executive Committee of such a requisition, failing which the requesting members shall have the right to hold the meeting on their own initiative after giving due notice as required for a general body meeting.
Executive Committee Meetings shall be held as often as necessary during the course of the year. The notice for Executive Committee shall be not less than 15 days.
In order to decide any matter of great urgency / emergency and whenever it is not possible to call a meeting of the Executive Committee due to shortage of time or any other inconvenience, a meeting of the Executive Committee may be held by circulation of the agenda to elicit the opinions of the members of the Executive Committee on the subjects mooted in the agenda.
